Multi-Factor Authentication (MFA)

Description

Multi-Factor Authentication (MFA) adds an extra layer of security to your Columbus City Schools (CCS) account by requiring a second form of verification in addition to your password. 

This helps protect your account, even if your password is compromised. When MFA is enabled, you will be prompted to verify your identity using a trusted device such as your phone when signing in.

MFA is a critical security control used to protect sensitive school data, email, and systems from unauthorized access.


Who Uses This Service

  • All CCS staff and consultants with access to CCS systems
  • Any user required to access Microsoft 365, email, or other protected applications

When Is MFA Required?

You will be prompted to complete MFA:

  • When signing in from a new device or location
  • When accessing certain CCS systems or applications
  • When your account activity is considered higher risk

Once enrolled, MFA prompts occur automatically during sign-in when needed. 


How MFA Works

When you sign in:

  1. Enter your CCS username and password
  2. Complete a second verification step using a method you set up

This second factor is something you have (like your phone), which makes it significantly harder for unauthorized users to access your account.


Available Authentication Methods

CCS supports multiple MFA verification options:

Microsoft Authenticator App (Recommended)

  • Receive a push notification to approve sign-in
  • Most secure and easiest method
  • Works over Wi-Fi or cellular connection

Phone (Text Message or Call)

  • Receive a verification code via text message
  • Or receive an automated phone call to confirm sign-in

  • Integrated with Microsoft 365 and CCS systems
  • Can prompt for verification based on risk or sign-in activity

Getting Started

  • Users will be prompted to enroll in MFA during sign-in when required
  • You must set up at least one verification method before accessing protected services
  • It is strongly recommended to configure more than one method (e.g., app + phone)
