Overview

A Microsoft 365 Group Owner is responsible for managing a shared workspace used for communication and collaboration within a school or department.

As an owner, you help ensure your team can effectively communicate, access shared files, and stay organized using tools like Outlook, SharePoint, and Teams.

Microsoft 365 Groups provide a central location for your team’s emails, files, calendar events, and collaboration tools.

Role of a Group Owner

Group Owners are responsible for maintaining how the group is used and ensuring it supports effective communication and collaboration.

  • Manage group membership (add/remove staff)
  • Oversee shared files and content
  • Ensure consistent communication practices
  • Support proper use of calendars, email, and Teams

Sending Emails to the Group

  • Group members can send messages to the shared inbox
  • Messages can be delivered to members’ personal inboxes if enabled
  • External email access can be configured if needed (not recommended for most school groups)
Tip: Use group email for internal team communication instead of large email chains.

Managing the Group Calendar

  • Create events that are visible to the entire team
  • Schedule meetings for staff and building activities
  • Use Outlook or Teams to manage group events
  • Display shared calendars within SharePoint if needed

Managing Members

  • Add or remove members as staff join or leave
  • Assign additional owners when appropriate
  • Ensure the correct staff have access to group resources
  • Support visibility of group members for collaboration
Managing membership directly helps reduce delays when onboarding new staff.

Managing Files and Documents

Each Microsoft 365 Group includes a shared document library where files can be stored and accessed by all members.

  • Upload and organize shared files
  • Provide access to lesson plans, forms, and building documents
  • Collaborate on documents in real time
  • Control permissions based on group membership

Real-World Example

In a typical school setting, a Group Owner may:

  • Send announcements to staff using the group email
  • Schedule staff meetings using the group calendar
  • Store shared documents such as building forms or schedules
  • Manage access for new or transferring staff
