Overview

Microsoft 365 Groups include a shared calendar that allows staff to schedule meetings, events, activities, and deadlines that are visible to all group members.

Using a group calendar helps ensure that important information is communicated consistently and remains accessible to everyone who participates in the group.

Events created in a Microsoft 365 Group calendar are automatically visible to members of that group.

Requirements

Before creating events in a Microsoft 365 Group calendar, verify that:

  • You are a member or owner of the Microsoft 365 Group.
  • The group includes an active shared calendar.
  • You have access to Outlook on the web or the Outlook desktop application.
Important: If you do not see your Microsoft 365 Group in Outlook, check the Groups section or More Apps menu. Contact the IT Help Desk if access is still unavailable.

Accessing the Group Calendar

Group calendars are accessed directly through Outlook and provide a centralized location for team scheduling.

To access a group calendar:

  • Open Outlook on the web or Outlook desktop.
  • Select Groups from the Outlook navigation menu.
  • Choose the appropriate school, department, committee, or project group.
  • Select Events to open the group calendar.

Creating a Group Event

Events can be created directly within the group calendar so that all members can easily find and reference meeting information.

  • Select New Event or New Appointment.
  • Verify that the correct group calendar is selected.
  • Enter the event details.
  • Save the event.

  • Title: Provide a clear description of the event.
  • Date & Time: Specify accurate start and end times.

  • Events appear automatically on the group calendar.
  • Members can review upcoming events without receiving individual invitations.
  • Individual invitations can still be sent when attendance tracking is required.
  • Updates made to the event remain available through the group calendar.
